With the constant growth of digitized data, the number of data leaks will inevitably grow as well. If a Data Leak incident happens, informing clients, employees and partners is the first step to undertake. We are already witnesses of many organizations that are experiencing data leak situations. They are informing their clients, employees, partners, and sometimes the general public as well, handling not only financial but reputational losses too.

A Positive Trend
Clients’ demand for accountability raised a positive trend since many companies are recognizing their responsibilities and notifying every affected party. But, at the same time, many companies don’t inform their clients about these incidents. It could be that managers are irresponsible – or, the company isn’t aware of the data leaks occasions.
General Data Protection Regulation (GDPR) highly suggests that companies immediately notify customers about data leak incidents. GDPR recommends that companies take the required steps to reduce the consequences, or they may pay an enormous turnover penalty.
Properly Informing About Data Leaks
Based on 161 notifications of data violence sent from USA companies in 2018, Information Security researchers concluded the following suggestions on how to properly inform on data leaks:
Inform & React Quickly
Companies should immediately send informing notifications to the affected parties – so that there is enough time to react and take action. Reacting quickly also shows that personal security is a priority for the company.
Keep Your Data Leak Notification Simple
Notifying texts should be simple, short, and clear, because not everyone has advanced reading skills. This will enable the affected party to instantly understand the problem and react. Sending clear texts will also help avoid feelings of irritation and mistrust.
Your Text Should Be Effective
Informing about the data leak isn’t enough. Companies have to recommend steps to undertake with guidance and explanation about the urgency – so that the affected clients or employees can react adequately. Keeping your texts effective helps in minimizing negative feedback.
Don’t Blame Yourself Too Hard
Whether you are an HR manager, communications employee, or the CEO – don’t blame yourself or the company too hard. When informing the clients, you should state that an incident took place for which you feel sorry – but that you are already taking all the necessary measures required.
Nowadays, information is exchanged with mind-blowing speed. In just a few seconds or minutes, you can share information via numerous types of communication channels or mass media resources. In the new “transparent” world, old tactics have lost their effectiveness. For this reason, admitting and notifying the affected parties regarding the data leak damage is just half the battle. It is important that companies implement actions that are focused on preventing, mitigating, and eliminating the consequences of data leak incidents.
